The Platform is intended for business and commercial use. By accessing or using the Platform, you agree to this Privacy Policy. If you do not agree, do not use the Platform.

This Privacy Policy applies to information collected through the UAP Loads Platform, including when users create an account, connect a mailbox, parse load-related emails, review parsed load data, filter emails, send replies, or use email cleanup features.

2. Information We Collect

2.1 Account and Registration Information

We may collect basic account information such as your name, email address, phone number, company name, company address, account role, and other information you provide during registration or account setup.

2.2 Connected Mailbox Data

If you connect a Gmail or Microsoft mailbox to the Platform, we may access mailbox data necessary to provide the Platform’s features, including:

• Email message metadata, such as sender, recipient, subject, timestamps, thread identifiers, and message identifiers
• Email content needed to identify, parse, structure, display, filter, and process load-related messages
• Attachments or embedded content where needed to render, interpret, or process relevant messages
• Mailbox state information required to support enabled user features, such as reply workflows or email cleanup functions

2.3 Parsed and Structured Data

We may extract and process structured information from connected mailbox messages, including load details, route details, equipment type, dimensions, weight, pickup and delivery details, broker contact details, and other information relevant to the Platform’s functionality.

2.4 Usage and Device Information

We may collect technical and usage data such as browser type, device type, IP address, approximate location, pages visited, actions taken within the Platform, timestamps, and related diagnostics or analytics information.

3. How We Use Information

We may use collected information to:

• Create and manage user accounts
• Connect to and authenticate linked email providers
• Read and process load-related emails in connected mailboxes
• Extract, organize, and display structured load data
• Enable filtering, saved search criteria, load matching, and related workflow tools
• Allow users to review, respond to, and send emails through supported reply or bid workflows
• Perform optional email-cleanup or auto-clean actions when enabled by the user
• Maintain product security, troubleshoot issues, monitor performance, and improve functionality
• Comply with legal obligations and enforce our Terms of Service

4. Mailbox Access and User Control

Mailbox access is initiated by the user through supported authentication and consent flows. We only use connected mailbox data to provide email parsing, filtering, and related reply workflows described in this Privacy Policy.

If a user enables optional features such as reply workflows or auto-clean, the Platform may also use connected mailbox access to send messages on the user’s behalf or move or delete matching emails according to the user’s settings.

Users may disconnect mailbox access at any time by removing or revoking the integration through the Platform or through their email provider account settings, where applicable.

5. Data Storage and Retention

We may store account information, user settings, search criteria, parsed load data, operational metadata, sent-message workflow records, analytics, and other information necessary to provide the Platform.

We may temporarily or persistently store portions of mailbox-derived data as needed to support the Platform’s features, maintain continuity across sessions, support sent/reply workflows, improve reliability, investigate issues, or comply with legal obligations. We retain information only for as long as reasonably necessary for the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law.

6. Third-Party Services and Processors

We may use third-party services to operate the Platform, including hosting providers, cloud infrastructure providers, analytics providers, authentication providers, email service integrations, and other technical service providers.

We may also use artificial intelligence or language-model service providers to help extract, structure, or review information from emails, subject to applicable contractual and privacy restrictions. Where applicable, these third parties may process information on our behalf subject to contractual or legal restrictions. We are not responsible for the independent privacy practices of third-party services that users access outside our Platform.

7. Google API and Microsoft Data

If you connect a Google account, UAP Loads’ use of information received from Google APIs will comply with the Google API Services User Data Policy, including applicable Limited Use requirements.

If you connect a Microsoft account, your use of Microsoft integrations is also subject to Microsoft’s applicable terms, policies, and permissions framework.

8. Sharing of Information

We do not sell personal information from connected mailbox data.

We may disclose information:

• To service providers or contractors who help us operate the Platform
• To comply with legal obligations, lawful requests, subpoenas, court orders, or regulatory requirements
• To protect the rights, safety, security, and property of UAP Loads, our users, or others
• In connection with a merger, acquisition, financing, restructuring, sale of assets, or similar business transaction
• With the user’s consent or at the user’s direction

We do not share load data across companies except as necessary to provide services to the applicable account holder or as otherwise described in this Privacy Policy.

9. Data Security

We implement reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, disclosure, alteration, and destruction. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. User Rights and Choices

Depending on your location and applicable law, you may have rights to request access to, correction of, deletion of, or restriction of certain personal information.

You may also:

• Update certain account information through the Platform
• Disconnect mailbox integrations
• Adjust settings related to parsing, filtering, and cleanup features
• Request deletion of certain account or stored Platform data by contacting us, subject to legal, security, and operational retention requirements
• Contact us regarding privacy requests

11. International Data Transfers

Your information may be processed or stored in jurisdictions outside your state, province, or country, where data protection laws may differ from those in your jurisdiction.

12. Children’s Privacy

The Platform is not intended for children under 13, and we do not knowingly collect personal information from children under 13.

We may update this Privacy Policy from time to time.
